Trophy & Award Engraving Ideas

Trophy & Award Engraving Ideas: What to Write, Wording Examples & Etiquette

Quick answer: Most trophy engraving includes the recipient's name, the award or achievement, the club, school or organisation, and the year. On a trophy the winner keeps, put their name first. On a perpetual trophy or honour board, start with the award title and add each winner underneath.

Years from now, a trophy should still tell its owner exactly what they achieved, where and when. That's the engraving's job, and it doesn't need many words to do it. Engraving is free on all trophies and medals at Trophy Shop Australia, so the real work is deciding which details deserve the space. If you're still choosing the award itself, start with our complete guide to trophies, awards, medals and engraving in Australia.

What Information Should You Put on a Trophy?

Imagine someone picking up the trophy several years from now. What would they need to know?

For most awards, four details give enough context:

•    Who received it? The recipient's name
•    What did they achieve? The award title or result
•    Where was it awarded? The club, school, organisation or event
•    When did they receive it? The year or season

For example:

Taylor Roberts
Club Champion
Bayview Tennis Club
2026

Not every award needs all four details. A competition trophy may only need the event and placing, while an appreciation award may need a short line about the recipient's contribution. If the wording keeps growing, choose a larger award rather than squeezing the text. Here's how to choose trophy sizes and set a budget.

Trophy Engraving Wording Examples for Different Occasions

Swap in your own names, categories, organisations and dates. After you order, you'll receive an easy-fill spreadsheet with a separate box for each line, so these layouts copy straight across.

Sophie Martin

At a tournament, the result often matters more than an individual title:

1st Place
Open Singles
Summer Tennis Championship
2026

If you're ordering for a whole team, settle on one layout before you collect the names. The finished set will look planned, not assembled.

Perpetual Trophies and Honour Boards

2026 Hamish Doyle

Before ordering a new plate, photograph the existing ones and match their layout, capitalisation and date style. Summer competitions that run across two calendar years usually show the season as 2026/27. Need a new one? Browse our perpetual trophies.

Honour boards take longer than trophies, and we're not normally able to make them between August and October, so check how long production takes for trophies, medals and honour boards before you set a presentation date.

Corporate and Workplace Award Wording

Workplace awards usually need a little more context than a title alone.

Olivia Wilson
Employee of the Year
In Recognition of Outstanding Performance
2026

Benjamin Clark
10 Years of Service
In Appreciation of Your Dedication
2016–2026

The opening phrase matters. "In recognition of" suits an achievement, such as a target met. "In appreciation of" suits service, so it's the better choice for retirements, farewells and years of service.

Crystal and glass engraved awards suit corporate presentations. The engraving goes into the award itself and can't be corrected, so have a second person check every word.

Retirement citations sometimes run to six or seven lines. If yours does, read when a custom award makes more sense than a stock trophy.

Volunteer and Community Recognition

Community wording should sound warm, not stiff.

Lucas Taylor
Volunteer of the Year
For Outstanding Service to Greenwood Community Garden
2026

At some one-off community events, every participant receives the same medal, so the event name and year may be enough. It's the kind of occasion we supported earlier this year when we donated medals for the Bourne 4 Life community event. Bourne 4 Life raises awareness of mental health, addiction and suicide prevention.

Memorial Trophies

Decide the trophy's name first, for example The Peter Coulson Memorial Trophy, and engrave it on the trophy so each year's winner sits beneath it. Include years of birth and death only if the family is comfortable with it, and show them the final wording before you order.

For an existing cup or piece of silverware, our trophy custom engraving service includes hand engraving. Our hand engraver works part time, so this can't be done on the spot.

Short Engraving Ideas When Space Is Limited

Short Engraving Ideas When Space Is Limited

How much text fits depends on the size of the engraving area, so on a small plate or medal, short wording reads best. A short inscription can mean just as much as a long one. Depending on the occasion, try:

•    Outstanding Achievement
•    Player of the Year
•    Most Improved
•    Outstanding Contribution
•    Excellence in Leadership
•    In Appreciation
•    Above & Beyond
•    Team Player Award

If the trophy's figure already shows the sport, there's no need to repeat it in the engraving. Use the space for details that make the award personal.

Trophy Engraving Etiquette: Details Worth Checking

Trophy Engraving Etiquette

Use the Recipient's Preferred Name

The name a team or workplace uses day to day isn't always the one a person wants on a permanent award. For formal presentations, confirm the spelling and the preferred form of the name. Keep nicknames for novelty awards.

Get the Apostrophe Right

A Coaches' Award comes from the coaching group, and a Coach's Award comes from one coach. The same logic gives you Players' Player. Choose one and use it every year so the plates match.

Treat "Presented to" as Optional

It reads well on a formal plaque, but on a small plate it takes up a line that could carry the organisation or year.

Keep Dates and Divisions Consistent

When personalised awards are presented together, "2026 Season" next to "Season 2026", or "U15" next to "Under 15s", stands out. Pick one style and use it across the order.

Put the Award Before the Sponsor

A lower line reading "Proudly sponsored by…" thanks the sponsor without renaming the award.

Treat Joint Winners Equally

Joint winners should receive the same trophy, in the same size, with the same wording. On a perpetual plate, list both names alphabetically.

Before You Submit Your Engraving

When your wording is final, our guide to how online trophy engraving works and what to check before you submit takes you through the easy-fill spreadsheet. You can keep editing until you receive the email confirming engraving has started. After that, a change means paying for replacement plates or a new award.

Ordering Personalised Awards Online

Deciding between a physical retailer and ordering online? Our guide comparing an online trophy shop with a local store sets out the practical differences.

You can order trophies online for anything from a single achievement award to a full end-of-season presentation.

Frequently Asked Questions About Trophy Engraving

What should I write on a trophy?

Start with the recipient's name and what they achieved, then add the club, school, business or event and the year. Choose details that will still explain why the trophy matters years from now.

Should the recipient's name or the award title come first?

On a trophy the winner takes home, put the recipient's name first. On a perpetual trophy or honour board, the award title comes first and each year's winner is added beneath it, because the trophy stays with the club.

Should I include the year on a trophy?

Yes, on annual competitions, sporting seasons, school awards and recurring recognition programs, because the year sets one presentation apart from the next. Summer seasons that span two calendar years are usually written as 2026/27.

How much text can you put on a trophy?

There's no single word limit, because engraving areas vary from one award to the next. Put the recipient's name and achievement first, then add the organisation, event or year if there's room. If you need a longer message, choose an award with a larger engraving area rather than shrinking the text.

What do you engrave on a sports trophy?

Usually the player's name, the award title, the team or club, the division, and the season or year. A competition trophy may focus on the event, category and placing instead.

What can I write on an appreciation award?

Give the recipient's name and why they're being thanked. Phrases such as "In Appreciation of 15 Years of Dedicated Service" or "In Recognition of Outstanding Leadership" can be adapted for volunteers, employees, coaches and community members.

    Is trophy engraving free?

At Trophy Shop Australia, engraving is free on all trophies and medals, and it's done in-house at our Wangara workshop.

Make the Words Match the Achievement

The best engraving isn't the longest or the most elaborate. It's the wording that tells the recipient, clearly and personally, what they achieved.

When your wording is ready, browse our online trophy shop in Australia to find the right trophy, medal or award for your next presentation.
