Step 1: Choose a trophy that suits the occasion
Start with what the award is recognising, not with what looks impressive on screen.
A junior participation trophy needs to be affordable, easy to hand out and consistent across a whole team. A championship trophy earns its height. A corporate recognition award usually wants restraint over flourish.
Check the listed dimensions, not the photograph. Product images make awards look larger or smaller than they are, depending on the crop. The height figure is the honest one.

Step 2: Confirm product codes, sizes and quantities

Before you submit, check your product codes, trophy sizes, quantities, billing information, delivery address, contact details, collection or shipping preference, and the date the order is needed.
Standard production is approximately seven working days. Standard road freight generally takes one to seven working days depending on the destination, while premium air services typically take one to two working days. Freight estimates are not guaranteed, so allow additional time before your event.

Step 4: Enter your engraving information
Once your order is complete, you'll receive an email link to an easy-fill spreadsheet. Your ordered trophies are already listed in it. You enter Line 1, Line 2 and any further wording against each one.
If some names aren't final yet, you can return to the same link and finish later. This is the part that makes the process work for clubs and schools, where information genuinely arrives at different times — participation trophies can be locked in early while Best and Fairest isn't decided until the last count.

How much text fits on a trophy plate?
There is no universal character limit for a trophy plate. The amount of wording that fits depends on the plate dimensions, font, letter widths, number of lines, engraving method and whether a logo is included. As more wording is added, the text may need to be reduced in size.

The trade-off worth understanding
Engraving isn't a word processor. The rectangle doesn't grow. Add a fourth line to a three-line plate and every line may shrink. Add one unusually long name and that line can shrink to fit, which leaves the other lines looking mismatched beside it.
The plate stays the same. The text gets smaller.
If you need to shorten the wording, remove filler language or the organisation name before removing the recipient's name or award category. The recipient and achievement are normally the most important details.

Artwork that is blurred, highly detailed or difficult to reproduce may need to be redrawn, and an artwork fee may apply. Finding your artwork
- Ask the original designer whether they still have the source artwork.
- Check your organisation's brand or media kit folder.
- Look for a PDF of your letterhead or business cards — these are often vector underneath.
- Your printer, signwriter or uniform supplier may already have a usable artwork file.
Before you send, confirm the file isn't blurred or stretched, that it's the current version with up-to-date spelling, that you have permission to use it, and that the filename identifies the organisation. A file named final-club-logo-approved.ai tells us something. image1.jpg tells us nothing.
If you can't find good artwork, say so at order time, not at the deadline. We'd rather advise on day one than discover it on day six.
What are the most common trophy engraving mistakes?
Almost every engraving problem starts in the information supplied, not at the machine.

1. The name came from memory, not from a record
Someone types "Katelyn." The register says "Caitlyn." Both are real spellings of a real name, and neither looks wrong to anyone who isn't her. Sara and Sarah. Jon and John. Catherine and Katherine.
Fix: Copy names from an official source — registration records, school enrolment lists, team sheets, employee records, or written confirmation from the recipient. Avoid handwritten notes when a digital list exists.
2. Apostrophes and accents got stripped
O'Connell becomes OConnell. D'Souza becomes DSouza. Müller becomes Muller. This rarely happens deliberately — the character gets lost passing through a form, a spreadsheet export or a copy-paste from a website.
Fix: Check every apostrophe, hyphen and accent as its own item, and flag them in your notes column.
3. The date is ambiguous
03/04/26 is 3 April in Australia and 4 March in the United States. Your award may outlive the convention that disambiguates it.
Fix: Spell the month. 3 April 2026.
4. Last season's spreadsheet, this season's awards
Copying last year's file is sensible. Leaving last year's year on the trophies isn't.
Fix: Search the whole file for the previous year before submitting. And decide which year you mean — calendar year, financial year, school year, or sporting season.
5. The name landed on the wrong trophy
Happens when one design comes in four sizes and the rows aren't tight. Your Best and Fairest ends up on the 12.5 cm participation award.
Fix: Include the product code and the size in every row. Not one or the other.
6. Inconsistent award titles and capitalisation
"Best and Fairest," "Best & Fairest," and "BEST AND FAIREST" are individually fine. Lined up on a table under lights, they look unplanned. Engraving generally appears exactly as submitted, so Emily Johnson and EMILY JOHNSON are two different trophies.
Fix: Write a master list of approved category names and a capitalisation style first. Copy from it rather than retyping.
7. Details scattered across email, text and attachments
Some names in an email, a correction by text, a revised attachment on Thursday. Now nobody knows which version is current — including you.
Fix: One agreed location for the final information. We ask for orders and engraving details electronically via the website or email rather than over the phone, which means there's always a written record of what was requested.
8. Changes made after engraving began
Engraving changes are accepted until the engraving-commenced email has been sent or the order has been marked as engraved. After that point, replacement costs may apply.
Fix: Do your review before that email lands.
9. Assuming every error is fixable
A plate on a standard trophy can usually be replaced. Direct engraving on glass or crystal is permanent — the mark is in the object, not on a component attached to it. Per our FAQ, a customer-supplied error on a glass or crystal award can't simply be removed; a replacement award may be required.
Fix: Give crystal and glass awards a second-person check specifically. The stakes aren't symmetrical.

Two techniques that catch errors
Read it aloud. Silent reading skips mistakes your brain autocorrects — your eyes see Recieved and your brain files it as Received. Speaking each word forces you to process it.
Get a fresh reader. Whoever built the spreadsheet is the worst proofreader of that spreadsheet — they'll read what they meant to type. Hand it to someone who wasn't involved. They'll spot the duplicated name, the missing category and the 2025 left in row 14.
